Position Summary
The Propane & Heating Oil Dispatcher is responsible for coordinating the safe, timely, and efficient delivery of propane and heating oil to residential and commercial customers. This role requires a high level of organization, problem-solving, and communication to manage delivery routes, monitor inventory, and respond to customer needs, especially during peak heating seasons. In non-heating months some drivers shift to delivering “liquid chlorine” in tankers to commercial swimming pool customers, similar delivery schedules as propane & heating oil.
Key responsibilities
Dispatch and Scheduling:
- Plan and optimize daily delivery routes for drivers using dispatch and routing software to maximize efficiency and control costs.
- Schedule deliveries and service appointments based on customer demand, driver availability, and real-time conditions.
- Prioritize work orders, escalating emergency “run-out” calls as required.
- Work with delivery drivers to ensure an after-hours “on-call” emergency delivery schedule is covered
Customer Service and Communication:
- Maintain constant communication with drivers throughout the day to provide updates, resolve issues, and ensure timely delivery.
- Work with customer service representatives in offices to prioritize emergency deliveries when required
- Address customer inquiries, complaints, and requests with professionalism, referring complex issues to management when necessary.
Inventory and Logistics Management:
- Monitor customer tank inventory levels to prevent run-outs and coordinate refills using cellular tank monitors where installed
- Collaborate with our wholesale supply department to manage product availability and supply chain issues.
Compliance and Safety:
- Ensure all dispatch activities and fuel transportation comply with Department of Transportation (DOT) and hazardous material regulations.
- Promote and enforce company safety policies and procedures with drivers and staff.
- Document and report any delivery incidents, accidents, or safety concerns.
- Administrative Support:
- Maintain accurate and up-to-date records of deliveries, driver logs, fuel tickets, and customer interactions.
- Update customer account information in the company’s system.
Qualifications
- Education: High school diploma or GED required. Additional education or certifications in logistics or transportation are a plus.
- Experience: 2+ years of dispatching experience, preferably in the fuel, propane, or hazardous materials transportation industry.
Skills:
- Proficiency with dispatch software programs and GPS tracking systems.
- Strong knowledge of the region in terms of mapping towns, etc…
- Excellent verbal and written communication skills.
- Strong organizational skills and exceptional attention to detail.
- Strong “people skills” to work with delivery team and customer service reps
- Tactical problem-solving and critical thinking skills to make quick decisions under pressure.
- Ability to multitask and adapt to changing conditions in a fast-paced environment especially during hectic heating season
- Strong customer service orientation.
Other Requirements:
- Able to work Sat mornings during busy heating season to make for smooth weekend deliveries if required
- Work with seasonal delivery drivers, especially during peak season.
- Reliable and dependable, with an excellent attendance record.
- Fuel delivery experience a plus
Work Environment
- Most work is performed in an office setting.
- The work environment can be fast-paced and high-pressure, especially during peak seasons and in emergency situations.
- May require sitting for prolonged periods.
Type: Full-time
Pay: $25.00 – $32.00 per hour
